Terms of Service
These Terms govern your access to and use of CleanOS products and services, including CleanOS Training. By creating an account or using our services, you agree to these Terms. Please read them carefully.
1. Definitions
In these Terms:
- "CleanOS", "we", "us", "our" means CleanOS, a trading name registered in England and Wales.
- "Services" means the CleanOS Training platform and any other CleanOS products you subscribe to.
- "Customer", "you", "your" means the business or individual subscribing to the Services.
- "Learner" means an employee or contractor of the Customer who accesses the training platform under the Customer's account.
- "Content" means all video lessons, quiz questions, course materials, certificates, and other materials provided through the Services.
- "Subscription" means a paid plan giving access to the Services for a defined period.
2. Eligibility and account registration
To use CleanOS Services, you must:
- Be at least 18 years old.
- Be a business or self-employed individual operating lawfully in the United Kingdom.
- Provide accurate and complete information when creating your account.
- Maintain the security of your account credentials. You are responsible for all activity under your account.
CleanOS reserves the right to refuse registration or suspend accounts that provide false information or violate these Terms.
3. Subscriptions and billing
3.1 Plans and pricing
CleanOS Training is available on monthly or annual Subscription plans. Current pricing is set out on our Pricing page. All prices are in GBP and inclusive of VAT where applicable.
3.2 Beta pricing
During the beta period, promotional pricing is available at 50% off standard rates. Beta pricing is locked for 12 months from your sign-up date. We will provide at least 60 days' written notice before any price change takes effect at the end of the beta period.
3.3 Payment
Monthly subscriptions are billed in advance on the same date each month. Annual subscriptions are billed upfront for the full year. Payment is processed by Stripe. By providing payment details, you authorise recurring charges in accordance with your chosen plan.
3.4 Failed payments
If a payment fails, we will notify you and attempt to collect payment again. Access to the Services may be suspended after 7 days of non-payment. Accounts not brought back into good standing within 30 days may be terminated.
3.5 Renewals and cancellation
Subscriptions renew automatically unless cancelled before the renewal date. To cancel, log in to your account and select "Cancel Subscription", or contact us at hello@cleanos.co.uk. Cancellation takes effect at the end of the current billing period. No refunds are issued for the remaining portion of a paid period.
4. Refund policy
We offer a 14-day money-back guarantee on new subscriptions. If you are not satisfied within the first 14 days, contact us at hello@cleanos.co.uk for a full refund. After 14 days, no refunds are available for monthly subscriptions. Annual subscriptions cancelled after 14 days are not refunded but remain active until the end of the paid period.
5. Use of the Services
5.1 Permitted use
You may use the Services to train your employees and contractors in connection with your cleaning business operations. You may add Learners up to the limit of your Subscription tier.
5.2 Prohibited use
You must not:
- Share access credentials or allow individuals outside your organisation to access the platform.
- Resell, sublicense, or provide the Services to third parties as a standalone product.
- Copy, reproduce, distribute, or create derivative works from any Content without written permission.
- Attempt to reverse engineer, decompile, or extract the source code of any software.
- Use the Services to store or transmit unlawful, harmful, or abusive content.
- Circumvent or attempt to circumvent any access controls or security measures.
5.3 White-label use
The platform may be configured with your company name, logo, and branding. This is permitted and is the intended use of the Services. The Content itself remains the intellectual property of CleanOS.
6. Content and intellectual property
All Content on the CleanOS platform, including video lessons, quiz questions, course materials, and certificates, is owned by CleanOS or licensed to us. Nothing in these Terms transfers ownership of that Content to you.
Certificates issued under your company name confirm that a named individual completed a course under your branded CleanOS Training platform. The certificate design and template are proprietary to CleanOS.
You retain ownership of your company data, including staff records you upload and course completion data generated through your platform.
7. Data and privacy
Our Privacy Policy explains how we handle personal data. Where you provide us with personal data about your employees (names, login credentials, completion records), you are the data controller and CleanOS acts as your data processor. We process this data only in accordance with your instructions and as necessary to provide the Services.
You are responsible for ensuring you have the appropriate legal basis to provide your staff's personal data to CleanOS, and for informing staff that their training records are stored on the platform.
8. Platform availability
We aim to maintain 99% uptime for the CleanOS Training platform but do not guarantee uninterrupted availability. Scheduled maintenance will be communicated in advance where possible. We are not liable for losses arising from unplanned downtime, but we will work to restore service promptly.
9. Content accuracy and compliance
CleanOS Training content is aligned to UK legislation including HSWA 1974, COSHH 2002, PPE Regulations 2022, Manual Handling Regulations 1992, RIDDOR 2013, and NHS National Standards 2021. Content is reviewed annually and updated when material regulatory changes occur.
Important: CleanOS Training is a digital training tool and does not constitute legal advice. Completion of CleanOS Training courses does not guarantee regulatory compliance in your specific workplace. You remain responsible for conducting site-specific risk assessments, maintaining COSHH registers, and fulfilling all other statutory duties applicable to your business. CleanOS Training is an evidential record of staff training, not a substitute for professional legal or health and safety advice.
10. Limitation of liability
To the fullest extent permitted by law:
- CleanOS is not liable for any indirect, incidental, special, consequential, or punitive damages arising from your use of the Services.
- Our total liability to you for any claim arising from these Terms or the Services is limited to the total amount you paid to CleanOS in the 12 months preceding the claim.
- Nothing in these Terms excludes or limits our liability for death or personal injury caused by negligence, fraud, or any other liability that cannot be excluded by law.
These limitations apply whether liability arises in contract, tort (including negligence), or otherwise.
11. Indemnity
You agree to indemnify CleanOS against any claims, losses, or expenses (including reasonable legal fees) arising from your breach of these Terms, your use of the Services in violation of applicable law, or any claim by a third party relating to your use of the Services.
12. Termination
Either party may terminate a Subscription by giving notice in accordance with Section 3.5. CleanOS may terminate or suspend your account immediately if you materially breach these Terms, fail to pay, or if we are required to do so by law.
On termination, you may request an export of your training completion data within 30 days. After 30 days, we may delete your account data in accordance with our data retention policy set out in the Privacy Policy.
13. Changes to these Terms
We may update these Terms from time to time. We will provide at least 30 days' notice of material changes by email to your registered account address. Continued use of the Services after the effective date of changes constitutes acceptance. If you do not accept the changes, you may cancel your Subscription before the effective date.
14. Governing law and disputes
These Terms are governed by the laws of England and Wales. Any disputes arising from these Terms or the Services will be subject to the exclusive jurisdiction of the courts of England and Wales.

15. General
- Entire agreement: These Terms, together with the Privacy Policy, constitute the entire agreement between you and CleanOS.
- Severability: If any provision of these Terms is found to be unenforceable, the remaining provisions continue in full force.
- Waiver: Failure to enforce any provision does not constitute a waiver of that provision.
- Assignment: You may not assign your rights or obligations under these Terms without our written consent. We may assign our rights in connection with a business sale or restructure.
